At Digital Polygon, we know that AI is becoming a core driver of how WebOps teams deliver smarter, faster, and with greater clarity. Beyond developer applications, we’ve found that applying AI to project management helps teams cut waste, improve collaboration, and stay ahead in a fast-moving digital landscape.
Using AI to improve project management processes was recently explored in depth at Drupal GovCon 2025. During the conference, Digital Polygon COO Jeramy Gatza led a packed, hands-on training session on "Empowering WebOps Excellence: Harnessing AI Tools for Modern Project Management." The room was filled with project managers, scrum masters, and product owners ready to see how artificial intelligence can cut through the noise to streamline and supercharge workflows.
A Hands-On Dive into AI-Driven WebOps
Instead of focusing on theory and hypotheticals, this three-hour workshop pushed session attendees to roll up their sleeves and collaboratively build real, ready-to-implement solutions. Drawing from Drupal development lifecycles and best practices, participants explored how AI can transform project management, through:
- Building a project backlog with AI assistance and exploring opportunities to quickly generate, refine, and prioritize backlog items with ChatGPT.
- Using AI prompts to refine user stories and acceptance criteria. Even the best ideas can fall victim to poor planning. The group developed and used AI prompts to turn vague ideas into actionable, testable requirements that accurately mapped to pre-defined user stories.
- Automating workflows by using tools like Copilot and Notebook LM to eliminate repetitive tasks and streamline communication.
- Replacing manual testing with AI automated testing. The group leveraged AI to catch issues earlier, validate deployments, and continuously improve.
From Theory to Toolkit: AI Prompt Engineering in Action
Managing a Drupal or WebOps project is already a balancing act between stakeholders, developers, and timelines. Prompt engineering is the missing layer that turns AI into a true collaborator.
To prove it, we gave attendees our AI Prompt Cache - a curated set of prompts tailored to every phase of the WebOps lifecycle. This ready-to-launch makes AI a practical accelerator across:
- Backlog management – AI-assisted generation, refinement, and prioritization for a clear, actionable roadmap.
- User story refinement – Transform vague requirements into detailed, testable stories with acceptance criteria.
- Workflow automation – Offload repetitive tasks and streamline communication so teams can focus on delivery.
- Testing and QA – Automate validation, catch issues earlier, and continuously raise quality standards.
Why This Matters for WebOps Teams
Today’s digital landscape puts project managers under pressure to deliver faster without sacrificing quality. Strategic use of AI changes the equation, giving WebOps teams the ability to:
- Reduce overhead and offload repetitive tasks like backlog grooming and meeting notes.
- Improve requirements consistency and clarity by transforming ambiguous requests into structured, testable user stories.
- Accelerate delivery timelines - Automate routine workflows, streamline testing, and supercharge iteration cycles for faster, more efficient delivery.
- Increase collaboration between technical and non-technical stakeholders - Translate complex technical details into clear, accessible language for all.
Looking Ahead
The energy and engagement in the room were made one thing clear: AI isn’t just a side tool. For many in the WebOps community, it’s becoming a trusted and necessary partner in project management. Drupal GovCon session attendees left not only with new skills but with new ideas on how to integrate AI into the WebOps lifecycle. And this is only the beginning.
At Digital Polygon, we’re committed to helping organizations adopt innovative, scalable practices that drive success. Our work on solutions like Polymer and AI reflects our focus on making AI practical and adoptable for real-world teams. We’re continuing to explore how these tools can streamline WebOps and project management.
